Every day we use all these Google products. We are using Gmail for emails. Uh we are using Google Drive for our files, for our documents, for our spreadsheets, right? They just released Gemini 3 and they have this momentum like everybody's talking about how Gemini 3 is uh so good and like OpenAI like Sam Elman is like issuing code red to their employees saying like you know uh we need to catch up with Gemini. I think they wanted to keep that momentum going. uh and then they kind of rushed this uh product out, but it's a good product. >> Hi, my name is Dmitri Bonichi and I'm a content creator, agency owner, and AI enthusiast. You're listening to the AI Agents podcast brought to you by Jot Form and featuring our very own CEO and founder, Idkin Tank. This is the show where artificial intelligence meets
innovation, productivity, and the tools shaping the future of work. Enjoy the show. It's finally here. Idken, one of the big players, Google actually made a product that is a pretty straightforward agent builder. They're calling it Google Workspace Studio Studio Studio >> and they just changed the name. Uh it was like uh work safe flows. I think it was like a workflow product but then they kind of uh changed the name to AI agents like AI agents to create workspace studio. Um yeah I think uh you know uh yeah you are going to introduce us like you go ahead. Yeah. >> Yeah absolutely. I just wanted to make it ominous and cool. So, the fact of the matter is we've been waiting for something like this for a while, right? Because Open I made their little agent builder. Was a little bit more complicated than this
practically speaking. Like, it wasn't this simple. Um, but this guy is uh it came out, as you can see, December 3rd. It's the fourth one we're recording. So, we really are excited to show you something brand new. Um, so you know from an access standpoint, admins will see the settings appear in their console at the same uh at the same time their end users get access to workspace studio. Admin consoles will grow start to roll out gradually on December 3rd and um it'll be done by January 5th. Um and it's available on the business starter business standard uh enterprise standard plus etc plans and for Google AI pro for education and business. Oh, if you do, without further ado, let me show you the cool demo video to showcase uh what they do. [music] It's always the same music, man. >> [music] >> So you
can see it's pretty much like almost showcasing itself as a simple easy to use Gemini AI agent enhanced or Gemini enhanced. It's kind of like Zapier workflow platform. >> It's basically a glue between all these Google products like um you know >> you have Gmail, you have >> Google calendar, you have Docs, uh spreadsheets, sheets, you have all these different products and now you can actually integrate them all to each other just by using AI prompts. So, I think this is a huge product. Um, yeah, it's a very exciting product. Yeah, I'm very excited. So, this guy is going to be basically, let's um go back out of here. This guy, as it states at the top, is AI powered automation made simple. And I think you'll note that it's pretty much tailored towards quickly put together stuff, right? Like this is an example workflow
that you'd see based on a meeting. You could have it summarize, post in your Google chat. So this is obviously Google calendar. Google chat is the kind of Slack alternative that Google has. Uh Gemini is their model and it will write a quick draft reply. So whether it be prepped for meetings, translating items um that are action items, autoleabeling priority emails, saving attachments to Google Drive um and responding to people quickly. It's pretty cool. Um I've heard about gems and how they were kind of being implemented recently. So this is kind of the extension of that as well. So automate everyday work with Google Studio is what their tagline is. Some other examples are get a daily summary of all your unread emails. Um, label emails that have action items. All these things are just things I guess that would be what you'd commonly find
like I was saying earlier in maybe like a easy Zap year workflow but it's only like Google um workspace kind of apps and it's trying to guide you towards the best possible thing to do for your um what's the word I'm looking for? best possible thing to do for your own Google workspace without having to get into a bunch of different apps. So, it's trying to probably keep you within the ecosystem in a by making the ecosystem a lot better uh productivity wise. >> Yeah. Uh I think it's just um you know every day we use all these Google products uh like we are using Gmail for emails. Uh we are using Google Drive for our files, for our documents, for our spreadsheets, right? Um and Google calendar like so now like goo Google has like so much um you know uh Google products are
so used so much and now that they re they just released Gemini 3 is uh so good and like um open AAI like Sam Elman is like issuing code red to their employees saying like you know uh we need to catch up with uh Gemini um you know things like that. I I going uh and then they they kind of rushed this uh product out but it's a good product. Um you know I I've seen some bugs that's why I see like usually you don't see bugs in um Google products. They are really well tested. Um I've seen some bugs but I think uh I think they did the right thing. um you know you want to release um your product as quickly as possible so you can see how people use it and learn from that and like resolve those bugs and I think
this this is a great timing and um this is a great product uh very useful product and you know we also have a workflow product uh so I'm going to also compare it to Jotform workflows but uh that's why I picked a prompt that would actually work with both cases should I go ahead and uh do a demo of Ne >> Google Workspace Studio. Okay, so this is just came out Google Workspace Studio and you are seen here in AI agents podcast uh the demo uh of the new product and uh for most people it's not enabled. Uh for example, we have been like you know spending so much time with Dimitri to try to get it work on his domain. He's also using like Gmail for you know his business [clears throat] but >> for me like I had to enable like alpha features
to be able to get access to it but uh so it's not available to everyone. Um they say like it's just going to be gradually released from like you know December to January. So, you know, uh I mean if you don't see it, you'll probably like see it by January like uh so um let's go ahead with the um demo. Yeah. I'm just going to >> Did you share your screen? >> Okay. Yeah. So um AI powered automation made simple basically um you know AI agents to automate work with Google Workspace Studio. Um, so that's the product and um, so this is what it looks like right now. Um, and as you see, you know, there's like all these templates that you can use. You can learn from them. And like these templates actually have like, you know, use, let's say, send guest summaries and
action items after meeting, right? It start with a Google calendar entry and then it creates like the AI creates a summary. It creates the action action item list, sends an email and probably something else here, right? So basically it's just in addition to all these like different uh Google products, you can create like these different things like with AI all you can do all these different things with AI. U I think this was was was I I can't remember what this was but um yeah so usually these AI actions are like has that star on them. So yeah, this is what it looks like. And I'm going to uh copy my um prompt. So my prompt is [laughter] create an expand reimbursement workflow where employees submit expenses amount less than $100 are auto approved while $100 plus expenses. Assign um assign a task to finance
team for approval and sends an email. Right. Okay. So, uh let's go ahead and click on this create. Um right, I'm going to use this again. Uh all right. So, right now it's basically um creating a flow for me. >> You don't right. >> Yeah. All you have to do is type something use the workflow tool like any time like any also edit this right. We featured them. So you can actually write just write something and then it will just create the workflow for you. >> So I mean creating a workflow is not that difficult but really like because what I've seen with Jot from users I know that even those like easy like easy looking um stuff it's just it's not easy. Uh it takes time. Uh it's like you know it confuses people. So if you can actually do it like this it's
better. Um, so it took a while but uh we got it. So one of the things I saw was like in Jot form we basically create the forms as well. So it didn't actually create a form um but it allows me to like pick a form from here. So basically I already created this form here uh for this demo in Google forms right this employee expense reimbursement form. And I can show you here >> the inferior form platform by the way. >> Okay. You know um yeah [snorts] I mean this that's this our business like we are forms company. Google does a lot of stuff. So you know yeah I think it's it's a good product. Uh but you know when you need something advanced like you you definitely check out J form >> if you're using Google form. >> J form. >> Um >>
right. So we created this form here. >> Um so edit this form. Okay. So now when someone submits this form this is going to we can see it starts with this form and you can make it like periodic or and all these different kind of starts and actions is like extract right we want to extract the amount because we are going to make a decision based on uh amount. So um let's see. So basically I'm going to put it here. This wasn't that easy, but uh basically because I looked at it before the demo, I know that I have to add it like this. So, so I added this total reimbursement request amount here as amount and then what to extract? Select predefined or custom content for Gemini to find. So basically um I couldn't find that field here but basically um uh right I
will what to extract right this is content this is um expand amount so we already have a form so we don't actually need to I think extract is more like you know if you have like a word document if you have like a Google doc docs or spreadsheet you want to like extract something from But in this case, you know, we can already like get that uh value from these variables. So I got that and expand amount. This is amount of expenses, right? So hopefully this will be able to get this. Um so next once that extracts uh it needs to make a decision if is if the expense amount expense amount uh greater than or equal $200, right? Um then it needs to send um right create create a task right um so create a task here review expenses submissions from here and then
sends an email here. Okay. So, it's it's going to send me an email here. And um hopefully it's going to send me send it to me. Before the show, like I tested this and it didn't send it to me, but I will try it again. I'm just adding uh to make it easier to search. I'm just going to add like some something here. Um okay, I going to add this agent demo here. Okay. Okay. And maybe I add it here as well just to make sure. Hopefully it's going to send this email. So, um, so the if the um if the decision is true, right? Uh, it decides if the expense is greater than $100. So, if it's greater than $100, then it's going to go into this and send the email. Um, so I'm gonna turn this on and let's see if it's going
to work. So I just turned it off on and I'm going to this form. I'm going enter in like John Smith name and I will just enter um amount, right? This is like it needs to be over $100. So I will just enter like $150 and I will submit this form. >> Okay. >> And um so I go back here and basically uh if you click on activity you should be able to see if it runs. Unfortunately again like I wasn't able to see this to run uh here but it says like it takes a while for this to be active. So maybe it's going to take a while. Let's take a look and see if there's an email um arriving. So, it's not arriving yet. Uh so, as I said, like I think they just uh rushed the roll out um in this case
or maybe I just have a mistake here. So, the um so I think it's just you know they're going to fix all these things in the coming days but it's an amazing product. Um it can do many of the things. >> So, I'm just going to compare it to Jatforms Jatform's product. So just from workflows is build powerful automations uh basically it's a workflow product and there are many workflow products like NA10 you know um like Zapier and you know all these make right you can you can use these products. >> Yeah. >> Uh but this is more like you know because uh we are really good at forms uh this is our product you know that really integrates with just forms powerful forms. Um and this is something like you know our users needed a lot. Basically um you can use it in many
different ways and you can create these advanced flows. um right uh tasks and you know all the J form features like [clears throat] JF sign and and it also integrates with all the other products uh like air table slack Google drive um right so yeah and payment features >> um and we have like some templates to show some examples so I'm going to show like in this example you can see we also integrate with Google calendar and Google drive. Um so, okay, I'm going to show the example now. So, I'm just going to say build my first workflow and then I will copy that um workflow um prompt and it's going ahead and uh creating the flow for me. Basically, it's going to do everything, right? uh um in Google um Workspace Studio, it actually didn't create a form for me. Um right uh so
basically it's going to do everything for me and we'll see how it goes. The um prompt created this uh workflow or our workflow builder as you can see uh basically starting with a form. It created this form. Uh we can take a look at this form. We can edit this form. We can improve this form. Like if we want to add like uh for example an upload field where um you know signature field or an upload field we can add all those things so that um you know if someone wants to like put like you know a received uploads it can also add that. So um yeah um this form is ready. Um, so when someone submits this form, it's going to check for the amount field, and that's the expense uh field here, expense amount. And if it's less than $100, it's going to
auto auto approve it. And if it's more than $100, it's going to send it uh for approval, finance approval. So, I'm going to I'm going to test this. Uh let's publish and open it here. Write the employee name uh John Smith and enter um email address date right and then right uh okay I couldn't enter it and then this is like a you know pens set um I'll just keep it short and I will just enter something less than $100 uh $5. I'm going to submit this expense. So, basically what's what's happening is that um on this workflow, we submit this form. It's going to go for the approval check and because it's less than $100, we expect to receive an email here. And um let's refresh to see if the email arrives. Okay. Let's take a look. It's going to take a while. Okay.
Auto approval notification for expense request agents demo. And basically um right it's passed $25. It was OT approved and basically it's working. So yeah um >> nice >> um right uh we have seen both uh you know both of these products I think they're great um Jot form uh workflows you know we also have this AI to create the workflow for you so you don't have to like you know spend so much time trying to create these workflows and um Google also has done that and it has like very tight integration with all these different Google products so I It's gonna be um it's gonna be great. Um and um you know uh I think you know if you need something that's probably like if you need if you need like more advanced forms and things like that probably Java form is a better choice
and more integration with more products but if you need a solution within the like you know Google spear you know from Gmail to sheets and Google calendar uh it's probably better to use this new product workspace studio and I do need that as well like just you know I spent so much time in my Gmail and my uh you know work workspace and uh so I'm going to I'm going to be using this product uh Google has just released so it's pretty exciting product. Yeah. >> Yeah. I think this is something that uh happens a lot of times with new products like this. Um it's a solid um tool obviously uh on both ends but there's going to be initial bugs. Um there's a reason they do gradual rollouts as well. They're just testing out the um I guess capabilities of it on mass. I
know they probably have the server capability to handle it, but this is a way to have some people probably report stuff to them slowly. It's almost like a um I mean you did say you had to enable alpha features. Is that correct? >> Yeah, it was in the alpha features, but uh that was like a couple of days ago. Uh so I think uh that was before December 3rd. Uh I was just trying with it uh probably like December 1st. >> So probably it's not anymore alpha. It's probably like a beta uh feature now >> and they're gradually rolling out to users. >> Yeah, >> it's all going to be more kinks. I guess this is something I would recommend for everyone to try out if you're not quite into the fora of like automation, especially mixed with AI yet, cuz there's just so many
different little opportunities that are out there and we don't really quite uh appreciate something like this until we've done some work in it. But I do think that there is, how do I say this? There is opportunity for a lot of people to get their initial introduction to AI agents andor automationsworkflows with this product because all they have to do is type in a request and it'll be done. So that's a big that's a big sorry that's a big step up from where I had to start where I had to figure out complicated type of you know like setup. We have all these tuto like Google um YouTube is full of all these tutorials about how to use like products like make or nan to build these workflows. Uh but now it's just a prompt. Uh you just write the prompt and then it's created.
Um, so it's just so much easier with all these tools and um and the Google uh studio um basically workspace studio allows you to glue all these um different Google products into each other to build uh any workflows you want. Uh so I think it's it's pretty exciting stuff and they're thinking about like how I how I can use this >> with my own workflows like um especially email processing. It's just this is amazing like you know you can um receive an email maybe you can just you know post it on a spreadsheet or um you can um you know you can do lots of stuff with it like create a task with it and uh process it like just there's just like so many possibilities and you could do all those stuff with any time but um now it's just a prompt. Yeah, >>
absolutely. Agreed. So, with that being said, um I think that's pretty much it. We just wanted to give a brief overview of a new product to kind of get you guys a look at what um exists, get it out to you uh in a quick and easy to digest format. If you do have any other thoughts or comments on how you guys could uh how you are going to use this, please make sure to leave a like and comment down below what your thoughts are on that. And with that being said, thank you so much for watching this episode of the Agents podcast. >> See you next time. We'll see you in the next one. Peace.
